Job Title: Administrative Assistant 

Department: Sales

Reports To: Sales Manager

POSITION SUMMARY:  

This position is designed to provide direct administrative support to the Sales and Marketing Department. Individual must have superior office/administrative skills.  Position requires an individual that can work closely with others, take direction well and execute projects with little or no supervision.  Some overtime and weekend work will be required.     

ESSENTIAL FUNCTIONS AND MAJOR RESPONSIBILITIES:   (This list is not intended to detail all aspects of the assigned work but is representative of the job’s overall responsibilities.)

  • Perform Administrative duties including: 
    • Prioritize and manage multiple projects simultaneously
    • Handle Information Requests
    • Meeting, calendar and conference call coordination
    • Gather proposal information and fact finding    
    • Research customer/Government portals and websites for potential opportunities
    • Create Presentations
    • Update Past Performances and Employee Resumes  
    • Create Organizational Charts and Flow Charts
    • Maintain and oversee general office environment
  • Be responsible for bid processes including: 
    • Screen all incoming Sales calls
    • Download, Organize and Maintain Bid Packages  
    • Update and Maintain CRM database 
    • Read and interpret all proposal submittal requirements  
    • Maintain and incorporate all addendums
    • Compose proposal response letters
    • Maintain the highest level of accuracy and ensure each proposal is checked for any grammatical and/or mathematical errors
    • Confirm compliance with proposal requirements
    • Submit proposal and other required letters
    • Follow up on award status
    • Archive post proposal documents
    • Gain working knowledge of the company and have the ability to positively relay the information onto others
    • Represent the company to the public and private sectors in a professional manner

 JOB SCOPE:  

This job is performed within established procedures using a variety of computer applications and office equipment. Must have excellent Microsoft Word, Excel, PowerPoint and Visio skills, Adobe Professional, and be able to work with various forms inserting photos / objects (JPEGs, TIFFs, PDFs, etc.) into documents.

SUPERVISORY RESPONSIBILITY: None 

INTERPERSONAL CONTACTS:   

The Administrative Assistant coordinates his/her efforts and interacts with a variety of employees, ranging from hourly craft to executive managers. In addition, frequent interaction with customers of the organization will occur.

KNOWLEDGE SKILLS AND ABILITIES:  

  • Excellent interpersonal and communication skills, both oral and written for constant interaction with all departments, employee levels and outside customers.
  • Must have the analytical ability to research problem areas and special requests.
  • Excellent organizational skills. 
  • Ability to exercise sound judgment, work well independently, prioritize duties and follow tasks through to completion.
  • Knowledge of principles and techniques of modern office procedures, business letter writing,   and reporting processes.
  • Must be able to handle competing priorities and deadlines effectively and respond well to last minute, high priority, and time sensitive projects. 
  • Must be willing to take initiative.
  • Possess the ability to quickly learn processes, procedures and applications utilized in performing the job responsibilities.
  • Knowledge of the proper usage of English, spelling, grammar and punctuation. 

EDUCATION AND/OR EXPERIENCE: 

High School Diploma or GED Certificate is required.  Associate’s Degree in business or other field related to the assigned department is preferred, but not required. Minimum of five years of experience in providing administrative support in a marketing/sales capacity and knowledge of office procedures and practices is required.

CERTIFICATES, LICENSES AND REGISTRATIONS:   None required.

PHYSICAL DEMANDS: 

Work is conducted in a dynamic, fast-paced office setting.  Also, the person may be required to work more than 8-hour shifts and weekend work.  On occasions the incumbent may be required to lift up to 20 pounds. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

WORK ENVIRONMENT: 

Office setting with occasional requirement to go into production areas (safety equipment will be provided and required) where the individual will be exposed to all weather conditions, noise, dusts and odors.
