POSITION SUMMARY: 

The role provides high level administrative and organizational support to the Chief Operating Officer, Chief Financial Officer and other executives, by conducting research, preparing reports and presentations, handling information requests and performing important administrative functions such as receiving visitors, arranging calls, scheduling meetings, and travel with a high degree of professionalism and attention to detail.

 

ESSENTIAL FUNCTIONS AND MAJOR RESPONSIBILITIES: (This list is not intended to detail all aspects of the assigned work but is representative of the job’s overall responsibilities.)

 

Essential Responsibilities and Tasks:

  • Live and exemplify the Vigor Values within self and team.
  • Consistently deliver attention to detail, strong follow through and a timely response.
  • Provide proactive and intentional management of executives’ calendar by prioritizing and resolving issues to ensure availability and readiness for activities, meetings, events, etc., often planning a year in advance for key events.
  • Coordinate all travel arrangements with accuracy and in a timely manner.
  • Reconcile corporate credit card account(s) and prepare expense reports to ensure accurate and timely preparation, submission and tracking, including the approval of senior leadership expense reports.
  • Act as a liaison, representing the COO, with senior leadership, strategic partners, and customers, etc.; greeting and directing visitors to appropriate area, scheduling visit related agendas and overall visit coordination. Proven ability to influence without authority. Regularly check in with supported executives to maintain goal alignments.
  • Use polished communication and strong interpersonal skills, business savvy and good judgement to make routine decisions on behalf of COO and other executives, easily addressing gaps in communication and in the coordination of the leadership team.       Interface with executive staff on behalf of executives for follow up on requests and action items.
  • Proactively advance own technical skills in order to address technology challenges independently and ensure outstanding meeting experiences. Strong proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Adobe Pro is required.      
  • Schedule conferences, meetings, video conferences, room set up, catering, technology and agendas.
  • Collect, evaluate, assemble and coordinate the preparation and distribution of various reports, documentation, executive summaries and presentations
  • Collaborate and work well with administrative team, contributing solutions-oriented suggestions to help ensure administrative processes are most efficient and effective.
  • Provide cross-training, support and onboarding of new administrative associates along with back up for others when needed. Provide back up to the Executive Assistant to the CEO, and receptionist answering phones when appropriate.
  • Provide support on personal affairs as needed.

 

JOB SCOPE:  

The incumbent works under general guidelines, but is expected to use sound judgment and make decisions on a frequent basis. The work is in support of the most senior executives in the Company. Much of the work handled is of a sensitive and highly confidential nature.

 

SUPERVISORY RESPONSIBILITY:

This position supervises a Junior Administrator. Discretion is exercised in the management of projects and work assignments.

 

INTERPERSONAL CONTACTS:   

Interactions are within all levels in the organization, with primary day-to-day interactions focused with the Executive management team. The majority of interactions are internal to the company.

 

KNOWLEDGE SKILLS AND ABILITIES:

  • Project timelines and work volume/deadlines may often require more than 40 hours per week to complete essential duties of this job.
  • Ability to carry out instructions furnished in written, oral, or diagram form and to solve problems involving several variables.
  • Strong computer skills in word processing, spreadsheets and databases preferably with both Windows and MAC applications
  • Strong informal influence skills; the ability to succeed in accomplishing tasks when the performers are not necessarily in the direct line of authority.
  • Self-motivation with ability to work with minimal supervision.
  • Strong problem solving capabilities
  • Ability to define problems, collect data, establishes facts, and draw valid conclusions.
  • Ability to exercise good judgment and make accurate and timely decisions.

EDUCATION AND/OR EXPERIENCE:

High school diploma or GED is required. Associates Degree in Business Administration or closely related field is highly desired. Minimum seven (7) years of experience in comparable Executive/Administrative role managing sensitive information with a high degree of accuracy.

PHYSICAL DEMANDS: Requires physical and mental stamina appropriate to the performance of assigned duties the following represent illustrations of requirements- Sitting or standing for extended periods of time; primarily in an office setting but at times the work requires going into a heavy industrial setting. The person may be required to walk upstairs and ladders and aboard ships to interact with employees. Mental ability to evaluate, assess and manage complex problems and policy related matters, at times in emotionally charged situations is required. He/she may be required to work nights or weekends. Work involves walking, talking, hearing, using hands to handle, feel or operate objects, tools or controls and reaching with hands and arms. Vision abilities required by this job include close vision and the ability to adjust focus. The employee may be required to push, pull, lift and/or carry boxes or containers. WORK ENVIRONMENT:   While in production areas the person will be required to wear Personal Protection Equipment (PPE) and may be exposed to all weather conditions, noise, fumes, dusts and odors. Personal Protection Equipment (PPE) items consist of safety toe shoes, hard hat, eye protection, and hearing protection.
