Position location: Fort Greely, Alaska

SUMMARY: 

This position is responsible for managing and maintaining administrative, financial, personnel and security personnel duties for the Aerospace Field team. Responsibilities include coordinating and managing office support services that include purchasing, invoices, phone, and IT support. In addition, the Office Manager have security responsibility for the field office including clearing personnel for FOUO access and gathering and submitting personnel for base access, will perform detailed project accounting, system set up, and train other administrative staff on a variety of project related computer software.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following, and others may be assigned:

General office management duties

  • Handles light IT and Phone support issues.
  • Performs a wide variety of advanced administrative work including the maintenance of detailed records, verifying accuracy of information, researching discrepancies and recording information.
  • Independently composes correspondence and memos; complies, formats and analyzes data from various data sources and prepares reports and conclusions.
  • Compiles information and data for numeric and financial reports; establishes and maintains recordkeeping and filing systems; maintains a variety of statistical records using various databases; checks and tabulates statistical data; reviews, computes and corrects data requiring analysis and coordination of several data sources and interpretation of policy.
  • Manages the organization coordination and training of multiple projects throughout multiple locations; maintains calendars and schedules of activities, meetings and various events; assists with a variety of duties with regards to training, such as systems, procedures and operations with other staff, departments and customers
  • Coordinate New Hire Preparations; desk, name plate, badge, phone, computer & systems access
  • Security support as needed; Managing under the direction of the FSO
    • Manage requests for Server Folder Permissions
    • Perform/track security briefings (NOFORN/FOUO)
    • Request/Manage GMD background investigations
    • Photo badge creation for contractors/employees
    •  Employee badge access, visitor access, non-foreign residents
    •  Conducts security briefings as and when needed
    •  Supervise non-approved vendors and visitors
    •  Provides day to day guidance to other assigned administrative professionals; prioritizes and coordinates work assignments; recommends procedural improvements; assures adequate support coverage; works as a team with others at both the administrative and manager levels.
  • Works closely with client / customer security personnel to facilitate base access for program personnel and equipment
  • Track daily costs/expenditures via IFS and other systems.
  • General office item shipping/receiving administrative duties
  • Handles hotel and similar issues for out of town guests and employees
  • Orders and maintains office supplies; prepares and revises various operating procedures; develops and revises office forms and report formats as well as report preparation procedures.
  • Manages coordinating logistics for events, including travel arrangements, conferences, meetings and other related activities. Ensures they are well trained on any updates to communication technologies.
  • Establish and maintain effective working relationships with those encountered in the course of work
  • Use conflict resolution skills as needed
  • Special projects as needed

General personnel duties

  • Provide timekeeping Support for Site specific employees
  • Coordinate interviews for hiring managers
  • Manage per diem for at-distance employees
  • Train new Project Administrative Support employees
  • Monitoring of IFS uploading process as needed

 

SUPERVISORY RESPONSIBILITIES:

  • Supervising of additional administrative staff.

 

EDUCATION & EXPERIENCE:

  • High school diploma or equivalent
  • Associates Degree in Business Administration or closely related field highly desired
  • Minimum of three (3) years experience in comparable office management type setting
  • Experience with government contracts a plus

 

KNOWLEDGE, SKILLS & ABILITIES:

  • IFS, Kronos and all other invoicing systems experience strongly desired
  • Excellent MS Office skills
  • Accurate keyboarding skills
  • Basic knowledge of state and federal employment laws
  • Above average MS Excel skills, ability to do macros a plus
  • Ability to work overtime and alternate weekends as required
  • Able to thrive in a team environment and across multiple locations
  • Ability to self direct and manage workload
  • Experience dealing directly with government customers
  • Be a U.S. Citizen
  • Ability to obtain a DoD clearance a plus

 

CERTIFICATES, LICENSES, REGISTRATIONS: 

  • None required.

 

PHYSICAL DEMANDS: 

  • Sitting and use of hands/arms for extended periods of time using a variety of computer programs, electronic communication tools and related office equipment to accomplish work tasks
  • Occasional lifting, up to 50lbs
  • Operating of a motor vehicle required (current drivers license required)
  • Mandatory overtime and occasional weekend work
